Email and SMS Configuration Guide for Your Clinic

What These Settings Do

These settings allow your clinic to send appointment confirmations, reminders, and important notifications via email and text message to your patients.

 

Setting Up Your SMS System (TextBee)

  1. API Key: Enter the key provided by TextBee when you signed up
  1. Device ID: Enter the device ID from your TextBee account
  1. Save SMS Settings: Click this button to store your information

 

Setting Up Your Email System

  1. Enable Custom Email: Check this box to use your own email server instead of WordPress default
  1. From Email: The email address patients will see messages come from (use your clinic email)
  1. From Name: Your clinic name that will appear in emails
  1. SMTP Host: Your email provider’s server (gmail.com, outlook.com, etc.)
  1. SMTP Port: Usually 587 for most email providers
  1. Encryption: Usually “TLS” for most email providers
  1. SMTP Authentication: Keep this checked
  1. Username: Your email address
  1. Password: Your email password or app password

 

Testing Your Setup

  • For SMS: Enter a phone number and message, then click “Send Test SMS”
  • For Email: Enter your email address and click “Send Test Email”

 

Why This Matters

Having properly configured communication systems ensures your patients receive timely notifications about appointments, reducing no-shows and improving patient satisfaction. Both systems work automatically once set up, with no technical knowledge needed for day-to-day use.
